PAYMENT
A valid credit or debit card is required to purchase and secure your requested event date/time. You may also make deposit via: CashApp, Zelle, or Venmo. Payment in full or deposit must be made or the request will be subject to cancellation.
Booking for 2023
2 Hour Minimum: $400
*Additional Screen: $50 (Total of 10 Screens and 10 game consoles)
Additional 1/2 Hour: $50
Additional 1 Hour: $100
Special Events/Rentals: Please Call
DEPOSIT OPTION
A non-refundable deposit of $100 of the total price must be paid at the time of your booking being accepted or the booking will be subject to cancellation. The remaining invoice balance is due before or upon arrival at event. Please call us for special circumstances.
CANCELLATION/REFUND/RESCHEDULE POLICY:
*There will be a $100 cancellation fee for all parties or events canceled after payment is received. * NO REFUND in the event of party reservation being canceled within 14 days of your event. The Gamers Van will make every effort to postpone your event, with no penalty, to another date should cancellation be necessary. Events canceled up to 14 days prior to the scheduled event will be refunded in full ***less the cancellation fee***.
TRAVEL SURCHARGE
Our general service area is a 25-mile radius from 300 Douglas St, Missouri City, TX 77489. Parties outside of our 25-mile primary service area will incur a travel surcharge added by distance. Please ask for our extra coverage areas.
25 miles or less: $20
26-35mi: $30 / 36-45mi: $50
46-55mi: $70 / 56-65mi: $90
TAX EXEMPTIONS
If your nonprofit organization has qualified for sales tax exemption with the Comptroller’s office, it can claim a sales tax exemption by providing us with a properly completed Form 01-339, Texas Sales and Use Tax Exemption Certification.
PRIVACY POLICY
The Gamers Van is committed to protecting your privacy. We use the information we collect on the site to make bookings as simple as possible and to enhance your overall experience. We do not sell, trade, or rent your personal information to others.
TIPS
The Game Coach is there to make sure that your group is making the most of our high-tech fun. We tutor, inspire, and entertain. Tipping for good service is a great idea, but not required.
Pictures
While your party is in effect The Gamers Van may be taking pictures of the party from inside or outside the van. We may use these on our Facebook/Instagram page or our web site. If you do not want The Gamers Van taking these pictures or posting them on Facebook/Instagram or our web site, please notify The Gamers Van prior to the start of the party (you will have an option to accept or decline photos when booking). We never identify guests’ full names or party locations.
DAMAGE/INJURY
Neither The Gamers Van nor any of its employees shall be responsible for any damage to property resulting from a request by the client to position the game theater in a specific location. This includes both above ground and below ground property/equipment damage. Additionally, we reserve the right to charge the client’s credit card for damages to the van or equipment resulting from the careless or willful damage of same by clients’ guests. Neither The Gamers Van nor its employees assume any responsibility for any injuries sustained on the client’s property or their designated location. All liability for damages or injuries are the sole responsibility of the client and/or host.
FOOD/DRINK
We do not allow any food or drinks into the video game zone. Please have your guests consume them outside of the van prior to entering.
ALCOHOL/DRUGS
You may serve alcohol at an OMG event or party; however, drugs of any sort will not be tolerated in or around the OMG equipment. Any observed use of illegal narcotics or legal narcotics used in an illegal manner will result in the termination of the party immediately. We reserve the right to terminate any party if the use of alcohol is deemed excessive or unsafe.
Refusal of Service
The Gamers Van reserves the right to refuse service to client(s) if we observe behavior which we deem to be a potential threat to our Gamer Coach, guests or our equipment. Such behavior includes, but is not limited to, obvious intoxication, observed or suspected drug use, aggressive language or behavior, unsafe surroundings, etc. In this case, we may refuse to start a party or terminate an ongoing event.
PARKING AND DRIVEWAY ACCESS
When the van pulls up, we will try to park in the most level & flat area or logical spot to accommodate your party. **Please keep in mind that our van will not park anywhere that may cause a danger to persons, property, or equipment. Our van is very easy to maneuver and park. We can back into and park in driveways, yards or any other safe locations.
